A diversion, an AOG event or a crew change can mean rooms are needed within hours, at night, in a city where the operator holds no rate agreement. Payment at the front desk is a persistent weak point in crew travel: card details circulate by email and messaging apps, and crews are held at check-in over payment queries. Hotels Worldwide addresses this in two ways. For most stays, crews check in with a branded voucher and never present a payment card at all. Where a hotel requires a card at the property, the company provides a digital crew card personalised in the captain's name, delivered to the captain's phone and added to Apple Wallet or Google Wallet in seconds. The card's details stay hidden until the operations desk approves a reveal, which then displays for 30 seconds before disappearing again.

Room rates are negotiated directly with partner hotels and agreed in writing before the stay.
